The Operational Challenge

The client received hundreds of multi-format, bilingual (Arabic & English) commercial invoices, packing lists, and sea freight bills of lading daily via email and WhatsApp. A dedicated team of 4 administrative clerks manually typed invoice numbers, line items, HS codes, weights, and tariff declarations into the legacy accounting software. This caused an average 36-hour shipment entry backlog, recurrent transcription errors, and costly customs declaration delays.

The Quantology Tech Solution

Quantology Tech engineered a secure, automated Intelligent Document Processing (IDP) platform. Utilizing fine-tuned computer vision OCR combined with a local, private Large Language Model (LLM) pipeline, the system automatically detects document layouts, extracts multi-table line items, standardizes currency values, and validates HS customs codes. An intuitive human-in-the-loop review interface was built using Next.js, allowing operations staff to verify low-confidence edge cases in one click before automatically syncing data into the client's SQL ERP via REST APIs.

System Architecture & Technical Design

Two-tier decoupled architecture separating ingestion from compute-heavy inference. Inbound email and WhatsApp attachments trigger a serverless FastAPI webhook that validates MIME types and streams documents into private AWS S3 storage. An asynchronous worker cluster running on dedicated GPU instances pulls documents, executes layout analysis via deep learning OCR, and feeds normalized text blocks into an on-premise Llama 3 instance with strict JSON Schema constraints. Extracted records are staged in PostgreSQL before an event-driven worker synchronizes validated data into the client's core ERP.

Engineering Implementation & Rollout

Delivered over an 8-week structured roadmap across 4 sequential milestones: Phase 1 (Weeks 1-2) audited 1,200 historical invoices, bills of lading, and packing slips to build an edge-case validation dataset; Phase 2 (Weeks 3-4) fine-tuned layout bounding models and implemented JSON schema extractors; Phase 3 (Weeks 5-6) developed a Next.js human-in-the-loop review interface for operator verification of low-confidence edge cases; Phase 4 (Weeks 7-8) built ERP database connectors, established staging dry-runs, and conducted shadow production testing alongside clerical staff.

Performance Benchmarks & Security Hardening

Operational Performance: End-to-end document parsing latency dropped to an average of 72 seconds for multi-page commercial declarations. The system processes concurrent batch arrivals of up to 40 documents simultaneously without GPU memory thrashing or queue blocking.

Security & Data Governance: 100% private inference pipeline with zero external API calls or telemetry sent to third-party public AI providers. Files in transit and at rest are encrypted with TLS 1.3 and AES-256 KMS keys. Role-based access control (RBAC) ensures operators only view document sections matching their administrative clearance.

Field Engineering Lessons Learned

High variance in thermal paper scans and dual Arabic/English typeface required building a custom confidence classifier. Implementing an instant, 1-click human verification UI for low-confidence (<95%) fields was essential to achieving total operational adoption from day one.

Measurable Outcomes

  • Average invoice processing cycle plummeted from 25 minutes per batch to under 90 seconds.
  • Customs entry turnaround reduced from 36 hours to same-day delivery, dramatically improving shipper satisfaction.
  • Data entry error rate dropped from 6.8% to under 0.8%, virtually eliminating customs discrepancy fines.
  • Freed administrative staff to transition into proactive customer logistics coordination and revenue-generating tasks.
“Quantology Tech transformed our most painful bottleneck. What used to take half our team entire days of tedious data entry now happens automatically in seconds. Their engineering team in Lebanon delivered exactly what they promised.”
